What does cohort management actually do?

Five capabilities. (1) Cohort creation — group participants by class, programme, intake, year, school site, or funding source. How do multi-tier dashboards work?

Three roles by default, all configurable. Case manager (or teacher, mentor, programme officer) sees their personal caseload — the participants they are responsible for. Supervisor (or principal, programme director, regional manager) sees all the case managers under them and can drill into any caseload. Board level (or district administrator, executive director, federal grant officer) sees aggregate analytics across the whole organisation with drill-down. Each tier has the right level of detail; case managers see individual journeys, supervisors see manager performance, board sees institutional outcomes. Available on partnership engagements with role configuration set up during onboarding.

Can the dashboard surface intervention flags?

Yes. Three default flags ship in cohort management. (1) Stalled participants — started the assessment battery but have not progressed in seven days. (2) Engagement decline — completed early assessments but skipped recent ones. (3) Low programme fit — assessment results indicate the participant matches a different programme than the one they enrolled in. Flags are passive — they appear in a coordinator’s queue, they do not auto-email participants. Coordinators decide whether to reach out. Most adopting institutions report 60-75 percent of flagged participants respond positively to a personal touch within a week.

How do cohort comparisons work?

Side-by-side metrics across any two cohorts you select. Most-used comparisons are year-over-year (2025 cohort vs 2026 cohort to track programme evolution), school-to-school (which school in the district produces stronger archetype distribution), and programme-to-programme (which intake track produces stronger career-match clarity). Comparisons cover archetype distribution, skill-gap heatmap density, Career Match clustering tightness, and completion rates. Programme directors use these for impact reporting; admissions teams use them to refine intake.

How does this scale across multiple campuses or sites?

The platform serves cohorts from 50 to 50,000 participants across single or multi-site deployments. Multi-site deployments are common for school districts (12-50 schools), workforce boards (10-30 American Job Centers), and franchise coaching networks (5-20 affiliate sites). Each site gets its own dashboard scope; a regional director or district administrator sees all sites in one comparison view. Multi-site role configuration runs under partnership engagements.

Does cohort management support multiple concurrent intakes?

Yes. Most institutions run overlapping cohorts — a fall intake, a spring intake, a summer intake, with different cohorts at different lifecycle stages at any given time. The dashboard groups cohorts by status (active, mid-programme, post-completion, archived). You can run reporting on any cohort or combination of cohorts at any time without affecting the others. Archived cohorts retain data for longitudinal analysis (year-over-year comparison, alumni outcome mapping) without counting against active-participant limits.
